Spending time with the Intuit team over the past few months and watching the many changes they are making truly speaks to volumes of what they are doing to help us in our endeavors to serve our clients.

What’s New

With that being said, there are a lot of new updates that have happened this October in QuickBooks Online. One of which was the new feature inside of QuickBooks Online Advanced. When you go to the reports section, you will see a new icon that looks like a calendar at the top of your reports.

This is still being rolled out, but with this new addition, you can create custom workflows that allow you to generate, export automatically, and email your custom reports directly to your clients by using this icon directly inside of running the report. This is available only in QuickBooks Online Advanced and will be rolled out to Canada in the next few months.

You still can create and schedule custom reports from the custom reports tab.

Scheduling from the Custom Reports Tab

We have used this in the past to send out reports to clients filtered down to all the transactions in question for the client. We have also used this feature to automatically send out their monthly financial statements.

Creating Custom Reports

First, select the report you wish to customize. In this case, we chose the Balance Sheet.

Once you have completed customizing your report, click Save customization.

Here you can enter the Custom report name, assign it to a group and determine who to share it with. You then will save the report, which now will be found under your customized reports tab.

For our monthly reports, we usually send several different reports, which is why it is nice to create a group in this case that will lump all of the reports into one emailed document.

Creating Groups

To create a group, select Add new group after clicking Save customization. Then click Save.

Ordering Reports within Groups — Quick Tip

Default ordering will put the reports in alphabetical order. If you wish to add them in a specific order when scheduling, select Edit on the custom report and rename it to flow in alphabetical order. Here is an example:

Setting up automation

To set up automatic emails, you will click Edit next to that group folder or customized report and then turn on the email schedule.

Here you can customize your email and occurrence.

The new QuickBooks Online Advanced update that is rolling out will make this process a bit faster and more efficient. More great updates to come, but I know you only have a Monday Minute.
