Everyone has many different methods for team collaboration. It is easy to lose or forget essential client details in email strands and file folders.
With QuickBooks Online’s new feature— currently live for all US firms and is anticipated to be rolled out in Canada next quarter—you can collaborate with your team directly within that client file.
To access the Notes section in a client file, click on the Accountant Tools at the top of the page and select Notes.
You also can access it from inside your Accountant dashboard on the client list by clicking on the client details and then clicking the Notes tab.
How does the new feature work?
Once in the notes section, you can mention a team member’s name by “@”-ing them, as seen below.
The team member you are collaborating with on that file must have a view or edit access permissions for that client.
Some things you might only want to share with a particular employee. There is a feature that allows you to change the note to private as well.
Once you have mentioned your team member, they will receive an email notification that a note has been added and will look like this.
The notes section is not viewable to your clients; it is for internal use only. Currently, the notes are not searchable, so it needs a bit of work. But all in all, this is a great tool to store important information where it is accessible.
